Sell company archive to AI? Check who holds the files and what they kept

Years of contracts, proposals, reports and specifications usually sit on a file platform or document system under its own contract. We read 19 documents from 14 of those platforms and records custodians, the newest on 2026-10-28: 12 leave the files with the customer, and 8 keep a right to use data about them once it is aggregated or anonymised.

One row per file platform, document system, wiki or records custodian, each answer resting on a sentence in the document linked beside it. Not stated means the document we read does not answer the question; varies means a platform's documents disagree.Updated

Each vendor's own published terms were read through estate-fetch and stored whole (sha256 on every row). For every document, four questions were answered from the vendor's own words: who owns the business's data, vendor keeps aggregated or anonymised use, training AI on the business's data, export at exit. Every stated answer carries the sentence it rests on, checked against the stored text; 'not stated' means the document read does not address the question. A vendor with several documents reads 'varies' where they disagree. 14 vendors, 19 documents.

The process

  1. Say what the archive holds, where it is kept, and whether the company is trading, closing, being sold or already dissolved.
  2. We read the platform's clauses on our board and the ownership rules that decide whether the files are the company's to license.
  3. You get a written answer that names the route: a licence while the company trades, a sale of a closing company's archive by its directors, administrator or liquidator, or a route agreed with the adviser who referred you.

No document platform, records company or buyer pays for a place on this site, and none of the links earn a commission. Each answer is our reading of a published document, not legal advice on your contracts. How the site earns: if a company licenses or sells its archive to a buyer we introduced, our fee is 12.5% of the deal, with a minimum, when we are its exclusive agent, or 10%, with a minimum, when its documents join a bundle or the pool, agreed in writing first; whatever a buyer pays us goes back to the company as a credit.

Straight answers

Can a company sell its document archive to an AI company?
It can license the files it owns. On our board 12 of the 14 document platforms say the stored files stay the customer's: Box says all content uploaded into your account is yours, and Dropbox that your stuff is yours. Whether each document is the company's in the first place turns on who made it, which the ownership rules below answer.(Document management software data terms: every row, with its source)
Do document platforms train AI on the files we store?
Most of the terms we read do not say, and they differ where they do. Box will not train AI on customer content without explicit authorisation, Progress ShareFile says customer content is not used to train the AI models its AI products use, and Wrike does not use customer data to train Wrike AI. M-Files says customer data trains and improves its software and AI models and that this learning cannot be unlearned.(Document management software data terms: every row, with its source)
Does a company own the documents its employees wrote?
Usually. In the UK an employer is the first owner of copyright in a work an employee makes in the course of employment, and of database right in a database made the same way, unless agreed otherwise. In the US a work made for hire belongs to the employer. Work by freelancers is different: a transfer of copyright has to be in writing and signed in both countries.(Document management software data terms: every row, with its source)
What happens to the archive if the company is dissolved?
In the UK, everything a company owned when it was dissolved becomes bona vacantia and belongs to the Crown, so nobody at the old company can sell it. A court can restore the company, and once restored it is treated as if it had never been dissolved. A Delaware corporation carries on for three years after dissolution to wind up and dispose of its property.(Document management software data terms: every row, with its source)
How long do we have to get files out after cancelling a platform?
Box takes a request within fourteen days of termination, while NetDocuments, Smartsheet, M-Files and Progress ShareFile each give thirty days. monday.com, Wrike and Egnyte's MSP agreement put exporting before termination on the customer, and Sync.com warns that data can go as early as thirty days after termination.(Document management software data terms: every row, with its source)
Which buyers ask for company documents?
Grepped asks for docs, contracts, reports, slides and PDFs, and License Your Data for the shared drive: decks, docs, spreadsheets, proposals, reports and SOPs. Turing's Project Lazarus wants wikis, runbooks and schemas from companies still operating or winding down. Troveo says ownership never transfers when it licenses data on an owner's behalf.(Document management software data terms: every row, with its source)

The question this page is here to answer

Who takes a company's documents and files for AI training, in what form, and how does an owner get in?

Most platforms we read leave the files with you, but the ownership of each document and the company's own status decide what can be sold. Tell us what you hold and we will write back.
